I. Processing of personal data

Personal data provided by you in connection with the registration and use of the ULTRA-DESK.COM online store is processed by CYBERLEVEL SP. Z O.O. (KRS: 0000606474, NIP: 6342858373, REGON: 363913682), with its registered office in Katowice, Poland at ul. Rezedowa 4; the company acts as the data controller within the meaning of the Act of 29 August 1997 on the Protection of Personal Data (consolidated text: Journal of Laws of 2014, item 1182, as amended) and Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data.

The personal data you entrust to us—specifically your first name, surname, address, email address, and phone number—are processed for various purposes:

1. to the extent necessary to establish, define the terms of, modify, terminate, and properly perform services provided electronically and to fulfill orders placed by you;
2. to fulfill orders placed by you for products available in the ULTRA-DESK.COM online store;
3. to handle complaints submitted by you and process refunds in the event of contract withdrawal (product returns);
4. if you consent to receiving marketing information from us—including the electronic transmission of commercial information—your personal data will also be processed for the purpose of providing you with information about our store, our product range, and promotions, as well as information regarding products and services offered by our business partners (with our knowledge and express consent).

Providing personal data is voluntary; however, failure to consent to our processing of your personal data may prevent us from providing you with electronic services and may prevent you from making purchases in the ULTRA-DESK.COM online store.

When you entrust us with your personal data, you have the right to access, update, and delete it. You can independently edit and delete the personal data provided in your Customer Account (under the “Customer Account” tab). Furthermore, we exercise due care to ensure that personal information is:

• processed correctly and lawfully,
• obtained only for specific purposes and not further processed in a manner incompatible with those purposes,
• adequate, relevant, and not excessive,
• accurate and up-to-date,
• not stored longer than necessary,
• processed in accordance with the rights of the data subjects, including the right to restrict disclosure,
• stored securely,
• not transferred without adequate protection.

Please note that your nickname and any email address designated as public will be visible to everyone using the ULTRA-DESK.COM online store. If you do not wish to share personal data with an unlimited number of people, do not set them as public.

For your safety, remember to:

1. setting up a login and a strong, 8-character alphanumeric password for your Customer account that cannot be easily guessed by third parties. In particular, we recommend using a combination of characters, numbers, and uppercase and lowercase letters in your password;
2. logging out of the ULTRA-DESK.COM website after finishing a session (e.g., after completing purchases, posting on the forum, etc.). Simply closing the browser window does not equate to logging out of the ULTRA-DESK.COM website. You log out of the ULTRA-DESK.COM website by clicking the “Log out” button located in the top-right corner of the page;
3. keeping your Customer account login and password confidential, and specifically not sharing these details (login, password) with any third parties;
4. using antivirus software, including regularly scanning your drives for viruses;

Technical information – cookies

When you use the ULTRA-DESK.COM online store, small files—specifically text files known as “cookies”—are saved on your end device (computer, smartphone, tablet, etc.). If the sale of a specific product is prohibited in your location (this applies particularly to software), you will not be able to place an order for that product, and you will be notified of this via a specific message.

Your personal data is stored in a database protected by technical and organizational measures that ensure the security of the processed data in compliance with applicable laws regarding personal data protection, including the Regulation of the Minister of the Interior and Administration of April 29, 2004, concerning personal data processing documentation and the technical and organizational conditions to be met by devices and IT systems used for processing personal data (Journal of Laws No. 100, item 1024). Access to the database is restricted to individuals authorized by the data controller.

IV. Server logs

1. Information regarding certain customer behaviors is logged at the server level.
This data is used exclusively for the purpose of administering the ULTRA-DESK.COM online store and ensuring the most efficient delivery of the hosting services provided.
2. The resources being viewed are identified by URLs. Additionally, the following may be recorded:
a. the time the request or inquiry was received,
b. the time the response was sent,
c. the name of the client station – identification performed via the HTTP protocol,
d. information regarding errors that occurred during the execution of the HTTP transaction,
e. the URL of the page previously visited by the Client (referrer link) – in cases where the visit to the Online Store’s pages occurred via a link,
f. information about the Client’s browser,
g. information regarding the IP address.
3. The above data are not linked to specific individuals browsing the websites; within the meaning of the law, they are anonymous.
4. The above data are used solely for server administration purposes.

V. Data disclosure

1. Data may be disclosed to external entities only within the limits permitted by law.
2. The Seller may be required to provide information collected by the Online Store to authorized authorities in response to lawful requests, to the extent specified in such requests.
3. The Seller may disclose Customers’ personal data to an entity acquiring the Seller’s rights and obligations regarding the Online Store. In such an event, Customers will be informed of the new controller of their personal data in accordance with applicable regulations.
4. Data recipients may include entities providing IT support services to the data controller.

VI. Final provisions

Due to continuous development and technological advancement, the rules set out in this document are subject to change. You will be informed of any changes to these rules with appropriate advance notice—no later than 7 days prior to their implementation—by the publication of the updated document on the website.
